JOB DESCRIPTION

JOB TITLE : RECEPTIONIST / DEPARTMENT SECRETARY

The Receptionist / Department Secretary will operate the company switchboard, greet visitors and supports finance and operations departments. He/She will also perform a variety of administrative tasks, specifically those related to company mail reception and distribution and other general clerical duties related to finance and operations departments.

ROLE & RESPONSIBILITIES


Administrative duties
Distributes cheques and follow ups
Performs miscellaneous jobs on the PC
Executes mass mailing of documents
Preparing payments and cheques,
Handling petty cash
Coordinate telephone extensions reports and ensure distribution by mail
Maintain attendance roster for operations and finance departments


Switchboard operation
Answers and reroutes telephone calls, takes down and delivers messages when necessary
Refers callers to appropriate departments
Records after hours messages and connects night lines
Maintains company telephone list up-to-date and issues updated extension list to all employees
Liaises with Courier companies

Reception
Greets visitors and directs them to proper individual or department within the company
Ensures that all visitors are appropriately referred and issues identification badges or passes when necessary

Mail
Distributes mail & packages
Records, prepares and dispatches outgoing mail.
Ensures proper postage is affixed and maintains a postage expenditure log
Liaises with Courier companies, monitoring costs and billings



PRINCIPAL WORKING RELATIONSHIPS

Reports to: Operations Manager

PROFILE
Good presentation and amiable disposition
Good organizational skills
Ability to deal effectively with a great variety of duties
Ability to operate a switchboard and eventually to perform under stress
Ability to work under minimal supervision
Ability to acquire excellent knowledge of departmental structures and their respective functions within the company

QUALIFICATIONS

Academic
A minimum of a High school degree. A university or College degree is preferable.

Technical
Operative knowledge of switchboard and communication systems
Knowledge of office machines, such as postage machine, etc.

Language Skills
English. Arabic is an advantage.
