Outstanding Opportunity for an Executive Assistant to the Managing Director

GRM International is a leading project management company working in developing regions worldwide on a range of donor-funded and commercial initiatives. We are currently seeking a highly skilled Executive Assistant with proven polished professional experience to be based in our Dubai office.


Purpose of Position:

The role is responsible for providing complete administrative and secretarial support, including typing correspondence, reports and presentations, and liaising with a wide range of people, including clients and senior executives.

Working predominantly autonomously this role reports to the Managing Director (MD).

Principal Responsibilities: (Include but not limited to)

· Handle issues of a sensitive nature, and maintain confidentiality and discretion
· Manage the Managing Directors (MD) and Chairman’s incoming and outgoing correspondence
· Coordinate and maintain the MD’s appointment diary including meetings, conferences, special events and functions
· Be a point of contact between the MD or Chairman while the Managing Director is out of the office and, where possible, deal with issues that may arise
· Type and process letters, reports, memoranda, minutes, presentations, etc from tape, manuscript or hand-written notes, using appropriate computer packages
· Review financial reports, budgets and proposals, ensuring final documents are ready for MD review
· Management of office supplies and facilities
· Co-ordinate and minute executive meetings
· Plan and organise annual executive workshop
· Support to Senior Exec team as required
· Support to Regional Manager when possible
· Provide Dubai office management support as requested
· Prepare and modify excel spreadsheets for analysis and presentation
· Manage communications with all Directors
· Schedule MD phone hook ups with all Senior Executives and Business Unit managers
· Identify opportunities for process/product improvement

· Develop and maintain systems for administration and processing of Managing Directors travel requirements, expenses and mobile phone
· Efficiently deal with reports and commentaries in a timely manner
· Liaise and build sound professional relationships with staff, clients, senior management and the Board

· Maintain close contact with the MD to ensure all relevant issues are communicated
· Work collaboratively with peers

Selection Criteria:

· Current UAE resident

· Exceptional understanding of both verbal and written English

Additional Language skills in Arabic and or other lamguages that GRM works in would be advantageous

· Experience in diary management and correspondence at a senior level

· High standard of written and verbal communication skills

· Well developed and highly effective organisational skills

· Ability to thrive under pressure and balance several competing projects at once

· Demonstrated people skills with a flexible and collaborative personal style

· Excellent skills in Microsoft Office, Visio and Lotus Notes
