Job Description Job Title: Events Officer Reports To: Office Manager Working Hours: 08:30 – 17:30 hours, five days a week. Attendance at monthly luncheons will be required. Involvement in SIGs, trade missions, group dinners and other BBG related events would, from time-to-time, require additional evening/weekend hours. Job Purpose: To manage and coordinate the ongoing events to ensure that they are organised effectively and run smoothly and successfully.

Principle Functions Events - StrategicØ Proactively seek new opportunities for eventsØ Actively source additional venues / locations for events and negotiate effectively the costs for all events.Ø Consistently work to improve existing events from all aspects including venues, speaker facilities, catering, logistics etc.Ø Obtain regular and thorough feedback from members. Make improvements to events based on relevant feedback Events – Administration and CoordinationØ To maintain the Calendar of Events and to ensure that it is kept up to date and accurate, as well as regularly updated on the web site.Ø To liaise with the event venues and to negotiate the best possible rates. In the build up to an event they will co-ordinate with the venue confirming requirements, special meals, confirming numbers, menu, seating arrangements, top table, signage, format of the event, etc.Ø To prepare and send out, as appropriate, invitations to events to the designated audience and to collate and manage the responses appropriately. Ø To manage the issuance of badges and the collection of payments at each event.Ø To work with the representatives on the committee and the Chairmen to schedule and organise meetings.Ø Liaise, in conjunction with the Office Manager, with PR company to keep them informed of forthcoming events. In the absence of a PR company, to build on the media contacts database and ensure sufficient interaction regarding events to further build on the profile . To liaise with the photographer as necessary and ensure that images and a press release are distributed to all media contacts within 48 hours after an event.Ø To be involved with the organisation and management of the large events, e.g. AGM, Golf Day, Christmas Party, and Great British Day, etc. OtherØ To support and advise other members of the Office team as appropriate.Ø To provide any other support as may be deemed necessary from time to time. KPI’s Ø To take full ownership and accountability for management of eventsØ To ensure all event history is recorded and files maintained in a proper fashion Ø To ensure all events details are accurately recorded and uploaded to the web site within 24 hours.Ø To ensure maximum exposure for the Group through the media for all events.
